How Axiomatic LLC collects, uses, secures, retains, and discloses information through Axiomatic DeedLock™.

Scope
This policy describes how Axiomatic LLC handles information submitted through Axiomatic DeedLock™, including the public website, pilot intake, account access, transaction workflow, and VOAC™ verification services.
Information collected
Depending on how the service is used, we may collect:
- Contact, organization, account, and authentication information.
- Property, parcel, transaction, document-version, owner-authorization, review, and certificate information.
- Security and operational records such as timestamps, IP addresses, device or browser information, login attempts, access events, and audit hashes.
- Information submitted in pilot requests and support communications.
How information is used
Information is used to provide and secure the service, verify authorization, administer accounts and pilots, investigate suspicious activity, maintain audit evidence, improve operations, comply with law, and communicate about requested services.
Axiomatic DeedLock is a verification layer and is not a county recorder, title insurer, law firm, or substitute for legally required recording and closing procedures.
Disclosure and processors
Information may be processed by infrastructure, database, security, storage, communications, and professional-service providers acting for Axiomatic LLC; by participating organizations as required for an authorized transaction; or when required by law, legal process, safety, fraud prevention, or protection of rights. We do not sell personal information.
Security and retention
We use role-based access, session controls, encryption in transit, separation of duties, monitoring, and append-only audit controls appropriate to the service. No system is completely secure. Records are retained for operational, contractual, security, evidentiary, and legal purposes and are removed or de-identified when retention is no longer reasonably necessary.
Choices and requests
Subject to applicable law and preservation obligations, individuals may request access, correction, or deletion of eligible personal information. Submit a request through the contact and pilot-request form and identify the request as a privacy matter. Identity verification may be required before action is taken.
Changes
This policy may be updated as DeedLock develops, integrations change, or legal requirements evolve. The current version and effective date will remain available on this page.
